Facility Bookings

The Athletic Complex, Ansley Alumni Field, and University Stadium offer a wide range of athletic and meeting facilities, many of which are available for rental. Rental fees vary by facility and availability may be limited during the school year (September through April) in order to accommodate student programming. All booking requests will be granted based on availability, suitability, and rental terms and conditions. Those renting our facilities must adhere to our booking and facility requirements and Wilfrid Laurier University policies.

Rental requests are accepted and considered only after internal program requirements have been fulfilled.
Due to limited availability, ongoing/long-term rental bookings are rarely available.
Commercial ventures that are in direct competition with our own internal programs will not be accommodated.
A comprehensive general liability insurance policy, covering bodily injury and property damage, in an amount of not less than $5,000,000.00, must be supplied in order for a rental to be confirmed*. A “rider” on the certificate must name “Wilfrid Laurier University” as an additional ‘named insured’. Rental confirmation will occur only after the certificate of insurance is provided.
*Rental groups comprised entirely of WLU students and faculty members are not required to provide insurance, however, a valid membership card or guest pass is required to access the facility during the rental period.
Limited parking is available. Rentals do not include parking privileges.
Sponsorship/advertising or other revenue generating activities must be approved prior to the rental/event and may be subject to other terms.
Cancellations require written notice at least fourteen days in advance of the booking to avoid charges. Please refer to our cancellation policy.
Changes or modifications made to confirmed bookings will be subject to a $50 change fee, per request. Changes or modifications within fourteen days of the rental date, may be subjected to a $250 administration fee.
All invoices must be reconciled within 30 days of the rental/event occurring.
Facility Rental rates vary by facility and are subject to change.
All rentals are subject to HST and Capital Improvement Fees.
Rental rates do not include any associated costs such as staffing, setup, equipment, field lights, floor coverings, custodial, etc.
Preferred rental rates are available for recognized charitable organizations and school boards.
Proof of Athletic Therapy or medical coverage may be required for some events (for example; rugby, football).
For spectator events, additional costs for security and custodial may be applied.

Student Group Access

All recognized WLU student clubs and groups may apply to rent facilities at the Athletic Centre, Ansley Alumni Field, and University Stadium. Student Group facility rentals are for use by recognized WLU student clubs/groups. Use of our facilities cannot be transferred to a non-university group. Student groups are responsible to ensure the facility remains clean and undamaged.

Student groups comprising entirely of WLU students, faculty, and staff are exempt from rental space charges, if the activity consists solely of Laurier participants. If any of the participants are external participants, a day pass must be purchased upon entry by each external participant.

How to Make a Rental Request

To initiate a rental inquiry, please complete and submit the rental application form.
A minimum of 7 business days are required prior to your event, in order to process a request. Your request will be reviewed by the Department of Athletics and Recreation and you will be contacted within 3 business days to discuss the rental.
