Intramural Captain's Manual

General Information

Team Captains will receive an email confirmation once their team has been added to the League. After your have received the confirmation email, you will then need to login to setup your roster. You will not see the roster editor before the team is approved. Team Captains will be required to log in to Add or Remove Players from their roster.

Responsibilities  

As a captain in an intramural league, you have responsibilities to carry out on behalf of your team, the league, and administration. Failure to carry out these duties may result in a Team Infraction (see Intramural Code of Conduct) The following is a general list of responsibilities:
  • You must attend all captain’s meetings as scheduled by the League Convenor, Intramural Supervisor, Sport Programs Coordinator or Recreation & Wellness Manager, collectively referred to as league administration
  • Send waivers to all teammates and make sure each player has accepted the terms of the waiver
  • Submit rosters prior to the due date set by league administration
  • Ensure that your roster meets all requirements outlined in accordance with the sport-specific rules and outlined in the Intramural Policy
  • Ensure that you notify the convenor of any scheduling conflicts or roster issues that you may face prior to the start of the season or at least seven days prior to the scheduled game
  • Ensure that your team is informed of the Intramural Policy and sport-specific rules
  • Promote a sense of fair play and equality within your team
  • Fairly evaluate your opponents and correctly fill out end of game paperwork
  • Act as the voice of your team, only you are to bring forth complaints to league administration
  • Participate in pregame duties such as coin tosses and meetings with referees
  • In the event of your absence at a match appoint an assistant captain to overtake your responsibilities on a temporary basis

Rights of a Captain  

As a captain you have the following rights which you may use at any time during the league:
  • Right to open communication with the league administration, utilizing the communication outline in the communication section of this manual
  • Right to fair play. Laurier Athletics and Recreation will do their best to place you in the appropriate league and ensure that teams are operating in a fair and equitable manner. The convenor/supervisor will appoint you to an appropriate division based upon their evaluation of overall league performance
  • Right to appeal disciplinary action, following the appeal process

Team Names, Logos and Uniforms 

As a captain in intramurals, you are presented with the opportunity to name your team and if so wished, design your own logo and uniform. The following regulations govern all team names and logos that appear in any intramural league, including shirts that are worn by members to make all athletes wear the same colour for a game.
  • No offensive language may be on any part of the uniform or team name. Offensive language includes but is not limited to swearing, violence, racist remarks, sexual remarks, or innuendos.
  • Logos cannot have any sexually or racially suggestive images.
  • If the team’s name has two interpretations, one being offensive in nature and the other not, the intention of the name will be deemed to be offensive in nature
  • In the event of a team name not fitting the above criteria, their name shall be changed to “Team (Captain’s Name)”. It is the team’s responsibility to submit a new name within 72 hours of their team’s name being posted or the changed name shall remain as their team’s name for the season
  • The use of any alcohol or substance related references cannot be a part of the team’s name, logo, or uniform
  • League administration decisions on all uniforms will be taken as final
  • Printing of the Golden Hawk Logo and any variations of the Golden Hawk must be done through an authorized vendor (the Laurier Bookstore, Hawk Shop, Traces & Big Kahuna Sport Company).
    • It is recommended that all teams wishing to create uniforms consult with either the Intramural Supervisors and / or Sport Program Coordinator before purchasing or printing to ensure the uniform is acceptable
Wilfrid Laurier Athletics and Recreation reserves the right to reject and/or modify any team name or uniform that does not comply with the preceding regulations. Laurier Athletics and Recreation will not be held responsible for any loss, monetary or otherwise, because of an alteration to a team name or uniform made by the department.

Alterations to Schedules  

Intramural games will run on set nights for the duration of the term. League administration will attempt to schedule games that fit the teams schedule and requests; however, accommodations are not guaranteed. 

The following regulations will apply to scheduling and alterations 

  • Scheduling requests must be submitted to the league administration email (intramurals@laurierathletics.com) by no later then the last day of the second week of intramural play as students will have their academic schedules at this point in the semester 

    • This is to allow league administration to work towards posting full schedules to the website with minimal expected disruption 
  • Scheduling requests that are submitted after the second week of intramural play not be accommodated for as they can have a negative impact on the experience of other students 

  • Valid reasons for switching a game are: 

    • Class Conflict affecting more than 50% of your team or allowing you to submit an eligible team 
    • Exam conflict affecting more than 50% of your team or allowing you to submit an eligible team 
    • Other as decided on by league administration 
  • Make-up games will only be provided if space is available during the regular booking for that league. 

  • Teams that cannot make a schedule game are expected to contact league administration through the email (laurierathletics.com) with a minimum of 48 hours notice in order to not forfeit their performance bond. Teams that are not present for their game, or contact league administration with less than 48 hours notice prior to the game will be considered a default and half the team’s performance bond will be forfeited. 

Communication  

The following guidelines govern communication and will assist in ensuring you that any inquiries, requests, and complaints are dealt with in the appropriate manner. League Administration will attempt to ensure all responses are prompt and contain adequate information to the query. All communication will be through the email address that you used to login and register for the league on www.laurierathletics.com. If email is not a feasible method of communication alternative arrangements must be made with the Convenor. Contact information for all will be provided at the captain’s meeting.
 

Intramural Staff Support
Position Issues/inquires can be addressed with them
League Convenor Scheduling, player eligibility, playoff inquires, concerns about referees or other participants.
Intramural Supervisor General complaints about the league including but not limited to staff, disciplinary, etc.
Sport Program Coordinator Refunds, appeals, complaints not addressed by supervisors
Recreation & Wellness Manager Appeal or review of any requests or issues unresolved by intramural administration
