Club Executive Resources

What constitutes a club activity?

  • Planned by club executive or members of the club for the club
  • Any event that is called WLU or Golden Hawks
  • Team name or player affiliation represented as WLU or Golden Hawk
  • Planned primarily for members of the club
  • Promoted on Club social media, website(s) or shared through the club email
  • Includes participation in events, leagues, tournaments, and activities as a group planned by an outside organization

Club Administration

Club executive members are responsible for updating the Club Locker file in the Individual club Sharepoint folder. Important club executive information and documents can be accessed through ?Folder icon Club Executive Information and Documents when logged into Microsoft with the club credentials.

Sport Club Event & Activity Request

All activities and events (including virtual events) must be approved by the department with at least 3 weeks notice. Club executives can follow the link below to access the Sport Club Event and Activity Request form, which is due at least 3 weeks before the event or activity is scheduled to take place.

Athletics & Recreation Support

Below please find a summary of the support provided by each Athletics and Recreation staff member.

Sarah Broderick - Manager Recreation and Wellness - sbroderick@wlu.ca

  • Responsible for ensuring club policies and procedures are clear and communicated effectively to club executives.

Kevin Wilson – Coordinator, Recreation Sport Programs - kewilson@wlu.ca

  • Responsible for club programming such as ensuring athletes, executives, coaches, and student trainers are trained in and following all club policies and procedures.
  • Responsible for connecting executives to the correct staff member within the facility.
  • Responsible for setting up club clothing and payments with presidents as well as depositing club funds into their accounts.
  • Available for any questions specific to individual club teams.  

Seerat Kaur – Clubs Student Leader - skaur@laurierathletics.com

  • Responsible for the administrative duties related to sport clubs, such as sending clear, consistent weekly emails, tracking waivers, tracking completed team fee payments and rosters, tracking and communicating club conduct, monitoring club social media's, and performing site visits during club practices and events.

Sanctioning & Transition Meetings: March/April

The following sections of the upcoming year Club Locker file must have a first draft prepared by the incoming executive for review at the Sanctioning & Transition Meeting:

  • Budget
  • Schedule of Events
  • Club Personelle

Final Budget and Proposed Schedule of Events: Due July 31st

Mid-Year Forecast & Meeting: Held at date agreed upon by during Sanctioning & Transition Meeting around the mid-point of the clubs active season.

Year End Report including final budget forecast and transition report completed by outgoing executive: Due at sanctioning meeting in March/April.
